Conflict Resolution Conversation Protocol

A structured seven-step protocol for resolving interpersonal conflicts through direct conversation. Step 1 — Cool down first: Never attempt resolution when either party is emotionally flooded (heart rate above 100 BPM). Take at least 20 minutes. Step 2 — Request a conversation: 'I'd like to talk about what happened. When would be a good time?' Step 3 — State intent: 'My goal is to understand your perspective and find a solution, not to win.' Step 4 — Each person shares their experience uninterrupted (use a talking object if needed). Step 5 — Reflect back: Each person summarizes the other's position until the other confirms 'Yes, that's right.' Step 6 — Identify common ground: What do you both agree on? What do you both want? Step 7 — Problem-solve together: Generate options that address both people's core concerns, agree on a specific action, and set a check-in date.

When to use it

After arguments that ended without resolution. When tensions are building between two people. Before resentment calcifies into contempt. When a team conflict is affecting productivity. When you realize you and someone else have very different versions of the same event.

Provides a complete, start-to-finish protocol for the conversations most people either avoid or handle badly. The cooling-down step alone prevents the majority of escalations.
