Active Listening Protocol (Reflective Listening Steps)
A structured five-step protocol for listening that creates genuine understanding rather than waiting-to-respond. Step 1 — Attend: Give full physical attention — face the speaker, maintain eye contact, put away devices, lean in slightly. Step 2 — Receive: Listen for content AND emotion. Notice what's said and what's avoided. Don't formulate your response while they're speaking. Step 3 — Reflect: Paraphrase what you heard ('So what I'm hearing is...') and name the emotion you sense ('...and it sounds like that was really frustrating'). Step 4 — Confirm: Ask 'Did I get that right?' and adjust until they say yes. Step 5 — Respond: Only after confirming understanding, share your perspective or ask your next question. The discipline: count to three after they stop speaking before you respond — most people aren't done when they first pause. Ask at least two follow-up questions before offering any opinion.
When to use it
Every important conversation, but especially: when someone is upset, when you disagree, when the topic is emotionally charged, when you're in a position of authority, when trying to understand a perspective very different from your own, and when you notice yourself mentally rehearsing your rebuttal.
