Check-In / Check-Out Ritual
A bookending protocol for meetings that opens with a brief personal or emotional check-in and closes with a reflective check-out, improving presence, connection, and meeting quality. Check-In protocol (opening 5-10 minutes): Each person answers a brief question — one round, no cross-talk. Options range from light ('What's one word for how you're arriving today?') to deeper ('What do you need from this meeting?'). The check-in creates a moment of transition from whatever each person was doing before. Check-Out protocol (closing 5 minutes): Each person answers a closing question — 'What's one thing you're taking away?' or 'What's one word for how you're leaving?' or 'Is there anything left unsaid?' The check-out creates closure and surfaces unresolved tension. Design principles: Keep it brief. Make it genuine, not forced. Rotate who goes first. The facilitator models vulnerability by going first with an honest answer.
When to use it
Regular team meetings, especially recurring ones (weekly team syncs, project meetings, leadership team meetings). Particularly valuable at the start of workshops, offsites, or any gathering where people arrive distracted. After intense or emotional meetings. During times of organizational stress or change.
How it can help
Transforms meeting culture by creating explicit space for the human element that everyone feels but meetings ignore. Research on team effectiveness (Google's Project Aristotle) found that psychological safety — which check-ins directly build — is the single strongest predictor of team performance. The check-out surfaces residual tensions before they fester. Takes only 10 total minutes per meeting but measurably improves the quality of the remaining 50.
