Eisenhower Matrix Action Protocol

A daily prioritization protocol that classifies every task into one of four quadrants based on urgency and importance, then prescribes a specific action for each quadrant. The protocol: (1) At the start of each day, list every task competing for your attention. (2) Classify each into one of four quadrants: Q1 — Urgent + Important: DO IT NOW. These are crises, deadlines, and emergencies. Handle them immediately but investigate why they became urgent — chronic Q1 living indicates poor planning. Q2 — Important + Not Urgent: SCHEDULE IT. These are the high-leverage activities that build long-term value: strategic planning, relationship building, skill development, health. Block specific calendar time for Q2 work. This is where life-changing work happens. Q3 — Urgent + Not Important: DELEGATE IT. These are interruptions, most emails, many meetings, and other people's emergencies that feel pressing but don't advance your goals. Ask: 'Does this have to be done by me?' Q4 — Not Urgent + Not Important: ELIMINATE IT. Time-wasting activities, excessive social media, busywork. Delete them without guilt. (3) Review your quadrant distribution weekly. The goal: minimize Q1 through better planning, maximize Q2, delegate Q3, and eliminate Q4.

When to use it

Daily, as a morning planning ritual. When your to-do list feels overwhelming and everything seems equally important. When you realize you've been busy all week but accomplished nothing meaningful. During weekly reviews to assess whether you're spending time on what actually matters. When transitioning to a new role and needing to establish priorities.
