Give repeated work a stable template, checklist, or definition of done.

Onboarding a new client always ends the same way: three apologetic follow-up emails asking for things you forgot to request up front. The billing contact. The brand files. The approval chain. You have done this 30 times, yet each time you rebuild the process from memory, and memory keeps dropping different pieces.

Standardize means giving repeated work a stable template, checklist, or definition of done. The cue is work you perform over and over where quality wobbles because each run is improvised. The operation: watch a few cycles of the work, extract what every good run contains, then encode it as a reusable form, such as a client intake brief listing every item you need and a definition of done that says when onboarding is actually complete. Run the standard next time and revise it when it misses. What changes is variance: new clients get the same complete experience whether you are sharp or exhausted, and the follow-up emails stop. The spec marks two boundaries. Do not standardize exploratory work before you know which variables matter, since you will freeze useful variation too early. And beware one-size templates across genuinely different cases; the same conflict script with every partner ignores the specific breach in front of you.
